Personal information is stored securely in:

  • Encrypted cloud-based folders accessed on password and biometric protected Apple devices
  • Practice Better, a secure client portal for consultations, documents and messaging
  • Paper notes stored in a locked cabinet in a private office

Only NutriAct Ltd has access to these records.

  1. Bookings, Payments and Consultations
  • Consultations are booked through Calendly and may also be booked through Practice Better
  • Payments are made by bank transfer or via Stripe
  • Consultations take place in person, on Zoom or via Practice Better Telehealth
  • Email and messaging may be used between sessions where agreed

These services may process limited personal information to provide their functions. Each operates under its own privacy and security policy.

  1. Sharing Information

Your information is confidential. It will only be shared in the following situations:

  • With your explicit consent, for example if we communicate with your GP or another health professional
  • When required by law, such as in response to a court order or a safeguarding concern
  • For professional development and quality assurance purposes, where anonymised information may be used for reflective practice, supervision, or CPD activities in line with Association for Nutrition standards.

We do not share personal information for marketing or advertising.

  1. How Long Information is Kept

Client records are retained for 7 years from the date of last contact. They are then securely destroyed.

  1. Marketing and Newsletters

We use MailerLite to provide newsletters and downloadable resources. You will receive these only if you choose to opt in. You can unsubscribe at any time.

You have the right to:

  • Request a copy of the personal information we hold about you
  • Ask that incorrect or incomplete information is updated
  • Request deletion of your information in certain circumstances
  • Withdraw consent where consent has been given
